Questions About Reservations Q. [Rescheduling Policies] May I reschedule a reservation rather than cancel A. We are delighted to have you as a guest and would love for you to reschedule your reservation for another date. We offer a one time courtesy transfer of a reservation for your convenience, which would allow you to transfer the reservation to another set of dates or even another cabin in you wish at no charge to you. You must provide the new date at the time you call to reschedule. This service is offered for reservations that are rescheduled 48 hours or more prior to check in date. If something would occur and a second rescheduling would need to take place then there would be a small processing fee of $25 plus tax involved for the consecutive transfer. Q. [Reservations ] How do I make a reservation? A. At this current time, we do not offer online reservation services, so when you make an inquiry online, it is just an inquiry and not a set reservation. In order to make a reservation and provide personal services, please call us with your Visa or Master Card information toll free at 1-866-682-2246. A 50% deposit is required to hold the reservation. We will not hold the reservation without a deposit and we will not accept a reservation without a valid credit card number.
Q. [Availability ] How can I tell which cabins are available for a particular date? A. Click on the availability link on the left to get a table showing all cabins with their rates, availability dates, bedrooms and baths. The list can be re-sorted by clicking the header for rates, bedrooms or names.
Q. [Cancellations ] What is the cancellation policy and procedure? A. We do understand that sometimes problems can occur, we ask that you notify us of the changes in your plans as soon as possible, so we can offer the cottage to someone else. Our cancellation policy is as follows:
Q. [Discounts] Are discounts offered on the cabins? A. We do have web specials that are listed on our websites and discounts apply for return customers and active military personnel (with valid ID). No discounts apply for any holiday weekends or one night reservations. Q. [Seasonal] Are the cabins and cottages available year round? A. Most, but not all of our cabins and cottages are available for rental year round. Some are closed from January through March depending on the harshness of the winter, but the majority of the cabins do remain operational. Please refer the website for availability during winter months. Questions About Locations Q. [Parking ] If we drive into Berkeley Springs where can we park? A. There is metered parking (please bring quarters) along the main streets and side streets in town and some non-metered parking along the remote side streets. The meters in town are free after 5pm Mon-Sat and are free on Sunday. There are some private lots through out the town and these are marked as to whether there is parking allowed after routine business hours. Please do not park in areas that are designated as non-public parking lots as you will be ticketed or towed at your expense. Q. [Parking] If I visit the office of Berkeley Springs Cottage Rentals, where can I park? A. We rely on on-street parking, these are metered parking spaces so please bring a quarter to avoid a parking ticket. Many of the business lots are only open to non-customers after hours. Please don't block driveways or park in the library lot during library hours. NOTE: The Town of Bath tickets on Saturdays. Q. [Office Location] Directions to Berkeley Springs Cottage Rentals. A. From the North and East: Follow I-70 west to Hancock MD, exit onto 522 south. After crossing the Potomac River you have about 5 miles to Berkeley Springs. Once in Berkeley Springs go through the 1st light and then make your next left, onto Independence St. Berkeley Springs Cottage Rentals is located in the second building on the right, next to the computer store. From the South: Take 522 north from Winchester VA, Berkeley Springs approx. 35 miles. When you enter Berkeley Springs watch for the 2nd stop light in town (not counting the one at the McDonalds). [Location ] Where is Berkeley Springs, WV and where are each of the cabins located? A. Berkeley Springs, also known as the Town of Bath is a small quaint town that is located NW of Washington, DC, East of Baltimore, MD, SE of Pittsburgh, PA and SW of Philadelphia, PA. We are located in the eastern panhandle of West Virginia along the Appalachian Mountains. All of our cabins and cottages are located within a 20 mile radius of the charming downtown area of Berkeley Springs. We have cottages that are located within walking distance of the in town amenities and cabins that are located in the outskirts of the town that would be just a short drive in. Q. [Weather ] What is the weather like in Berkeley Springs? A. Our weather does vary from season to season. We do have snow in the Winter and hot, humid days in the Summer. Spring and Fall and are pleasant during the day and can be cool in the evenings. [Shopping ] Where can I shop? A. There are many small owner operated shops in the town of Berkeley Springs. They are all centrally located within walking distance of each other in town. There are gallery shops, antique shops and boutique type shops. A list of all of the shops and a map of shops can be accessed through the following web site: Q. [Boats ] Can I bring a boat/canoe or rent a boat/canoe? A. You are welcome to bring a boat (flat bottom) or canoe or kayak with you to use on the rivers. You can only use electric motors on the rivers and lakes, unless you have a boat that is registered in the state of West Virginia. Please note when making reference to lake or pond, bodies of water in the region are not large bodies of water, some are suitable for small water craft not for large boats or speedboats. Canoe’s and kayak’s are welcome; you can bring your own or rent one at the local out-fitter, which you can connect to through the following web links: Q. [Dining ] Where can I go to eat? A. There are numerous dining establishments in the town of Berkeley Springs and surrounding areas. There is Tari’s Café, Mi Ranchito Mexican Restaurant, Maria’s Garden (Italian/American), Inspirations, Lot 12 Public House, Panorama at the Peak Steak House and more. Directions and information for each restaurant is located in each cabin/cottage in the visitors guide. They can also be accessed through the following website: http://www.berkeleysprings.com/dining.htm Q. [Hunting] Where can I hunt near the cabins and what licensing issues will I face? A. There is no hunting on the private properties surrounding the cabins. There is no discharging of firearms on the cabin properties. There are easily accessible properties that can be hunted, including the Sleepy Creek Wildlife Management Area. You are required to have a West Virginia State Hunting License whether you are resident of West Virginia or from another State. There is also a shooting range at the Wildlife Management area that is open to the public for sighting in firearms. Q. [Fishing] Where can I go to fish near the cabins? A. Cabins that are located on the river or have private ponds can be fished. The Cacapon River and Potomac Rivers both have public access points that can be fished by anyone and are both within a short drive of any of our cabins. You must bring your own equipment and bait. You are required by law to have a WV State Fishing License to fish the rivers or public ponds (including the lakes at Cacapon State Park or Sleepy Creek Wildlife Management Area). Privately owned ponds are located on some of the cabin properties and can be fished without a state license. The Department of Natural Resources does offer a 3 day fishing pass at the cost of around $10.00 per person. Q. [Wildlife] Will we see wild animals? A. We are a mountainous rural area and wildlife sightings are very common, we have squirrels, skunks, raccoon, opossum, rabbit, deer, bobcats, bear, coyotes, a variety of birds and more. You are welcome to enjoy their homes and watch them frolic and play, but please respect their lifestyles and do not disturb them in their daily chores of gathering food and caring for their offspring. We also have a variety of snakes, non-poisonous and poisonous, please be aware of them and do not disturb them, they live here too. Q. [Attractions ] Why should I come to Berkeley Springs? A. Berkeley Springs holds the distinction of being known for its natural spring waters, thus giving it its name. Lore has it that the waters that flow through the town of Berkeley Springs, also known as the Town of Bath, have attracted visitors beginning with Native Americans who came to the waters for healing and medicinal purposes. We also have many local artisans who have galleries and shops in the town for browsing and unique shopping opportunities. It is a very small, romantic setting that is welcoming to those who seek a get away for the daily hustle and bustles of life. It also offers things for those who seek to enhance their minds and bodies with outdoor activities such as hiking, biking, canoeing, kayaking, horseback riding and much more. Q. [Why Stay] Why should I stay with Berkeley Springs Cottage Rentals? A. Berkeley Springs Cottage Rentals is a small family owned and operated inn keeping company. We have been entrusted with privately owned cabins to be used as vacation rentals. Each cabin and cottage has its own personality that reflects the tastes of the individual owner. The owners do use the cabins as their own personal vacation home and they are welcoming you to their vacation home. The cabins and cottages are much homier and comfortable compared to other lodging establishments. We also provide a personal housekeeping and inspection service before your arrival to ensure your stay is a pleasant one. Q. [Recreation] What recreation activities are there to do in the Berkeley Springs Area? A. We are a small town, but there is unbelievably a lot to do in the area. There is something for everyone in the area, from the adventurer to the person looking for rest and relaxation. For the recreation seeker there is hiking, water activities, golfing, fishing, hunting, and much more. For the relaxation seeker, there are fabulous mountain views, lazy rivers and a peaceful small town atmosphere, with shopping and dining. Please refer to the itinerary section of our web site for further details. Questions About Amenities Q. [Supplies] What Items are provided in the Cottages? A. All cottages have a full service kitchen with plenty of pots, pans, silverware, dishes glassware, etc. All kitchens come equipped with microwave, coffee pot, refrigerator, oven and stove. Some properties do have a blender and toaster oven and ice maker, but ice can be purchased locally at the convenience or grocery store. Sheets and towels are also provided. Starter kits for paper towels, toilet paper, hand soap, dish soap and napkins are provided. Laundry detergent and dryer sheets are provided for cabins that have a washer and dryer. Charcoal and lighter fluid may be purchased locally. If you are planning on river activities, then please bring additional beach towels for your comfort. Q. [Cabin furnishings and appliances] Are cabins furnished and are there full size appliances? A. All cabins are privately owned with furnishings and appliances provided by the cabin owner. BSCR cannot make any changes to this. All cabins do have a kitchen equipped with a stove, oven, refrigerator, coffee maker, pots and pans, dishware, glassware and eating utensils. If you require special appliances or equipment, please bring them with you. Moving of furniture is prohibited. Decor, style, color and themes will vary between cabins. Furnishings are subject to change without notice. Please refer to the amenities section of our website for each cabin for an individual listing of amenities. Q. [Television] What type of television reception will I have? A. Television reception varies from cabin to cabin. You will need to look at the amenities list for the particular cabin you are looking at. Services vary from cable, satellite, limited antennae reception and no TV at all. If the cabin has satellite TV programming this can sometimes have limited reception due to weather conditions, so if you are coming and bad weather is predicted and you will want to watch something on TV to pass the time, you may want to plan on bringing videos or DVD’s depending on what type of player is available at the cabin. All cabins are checked by a property inspector prior to check in and cabins with satellite TV are prepared by having the satellite box turned on and ready for you, please just turn on the TV and the satellite will be ready for you. We will not make trips to cabins to remedy problems with the satellite TV during your stay, we do have a trouble shooting guide in the cabin for your convenience to help with minor problems with the satellite TV systems. Due to the fact that each cabin is privately owned and owners pick the packages they receive, BSCR does not guarantee any programs or events. Q. [Linens] Are Linens Provided? A. Yes, sheets are provided and the beds are fully made. Towels are also provided, but if you plan to visit the river or beach areas on one of the lakes then you may want to bring beach or additional towels for your comfort. Housekeeping service is not provided until after your stay. BSCR provides your initial supply of paper products, soaps, detergents and trash bags etc. for your convenience. Q. [Internet ] Do you offer internet services in your cabins? A. We currently do not offer any high speed internet services in our properties. The properties that have local phone service can be connected to the landline via AOL.com at the following local numbers if you have AOL service (304-258-7550; 304-579-0007 or 304-839-0010). We do not provide any technical support or assistance with this service. If you are visiting a restaurant or touring the park or downtown area of Berkeley Springs, S&S Computer Networking has a local hot spot which you can connect to for a nominal fee at the following website: http://www.ssnconline.biz/hotspot.htm Q. [Phone] Is there phone service at the cabin? A. It is listed in the amenities section of each particular cabin whether a phone is in the cabin or not. We do have some that do not have phone service. The majority the cabins that provide a phone have local phone service only. Please bring a calling card or use a credit card for long distance calls, please to not use any of the “10-10” numbers to bypass long distance blocks, as this will incur a charge on the phone bill and you will be held responsible for these charges. There are a few cabins that do allow for long distance calls to be made and this is specified in the amenities of the cabins. You can receive incoming calls at the cabins with phones and the number is provided for you in the confirmation email that you receive, you are welcome to leave this with family members at home, but please make them aware of your reservation dates and your check in time and check out time so they do not disturb other guests. Q. [Air Conditioner] Do all cabins have air conditioning? A. Most, but not all of our cabins and cottages have air conditioning. Please refer to the amenities selection for each individual property for a listing of the central or window air conditioning units for each cabin. If window units are offered, we do try and be as detailed as possible and list the rooms that the window unit is located. Q. [Move Furniture] May I move furniture around in the cottages? A. Absolutely not. We provide detailed pictures of the layout of each room in the cabin. Please do not move any furniture during your stay. Damages to flooring and marks on walls can occur. Guests will be charged an additional fee if any furniture is moved. Please be respectful of our well maintained privately owned cabins. Q. [Grills ] Are the cabins equipped with a grill? A. Most of the cabins are equipped with a grill and the type of grill varies from cabin to cabin, please check the amenities list to see what type is at the cabin you are renting.
Q. [Campfire] Can we have a campfire or other open outdoor fire? A. Many of our properties to do have outdoor campfire rings and you are welcome to use these. We do ask that you do not use firewood that has been provided for the indoor fireplace or woodstove for the campfire. You are welcome to bring your own wood or gather wood (downed, dead wood, or limbs) surrounding the cabin. There are state fire laws that need to be adhered to, you are not allowed to have open fires until after 4pm and up to dawn. If it has been extremely dry, you are required to wet around the fire ring and remain at the fire at all times. Do not leave fires unattended at any time and make sure they are completely extinguished when done. Please watch children and pets near open fires. Please do not have open fires where fire rings are not provided. Some of the owners have not built fire rings because they do not wish to have open fires on their properties due to insurance regulations that do not allow for campfires. There are no open fires allowed in either the Coolfont Resort properties or The Woods Resort. Q. [Smoking ] Is smoking permitted in any of the cabins or cottage? A. NO SMOKING PLEASE!! All of our properties are non smoking! If you must smoke, please smoke outside the cabin and discard all residue appropriately. Q. [Fireplaces & Wood Stoves] Do all cabins have a fireplace or woodstove and is wood supplied? A. Most of our cabins and cottages have some type of woodstove, fireplace, pellet stove or gas fireplace. Please check the amenities list to see the specifics for each cabin. We do have wood delivered to the cabins with woodstoves or wood burning fireplaces, we ask that you please be considerate when using the wood and remember that another guest may be checking in when you leave. We ask that you do not use firewood provided for the fireplaces to burn in campfire rings. Pellets are provided for pellet stoves and the propane tanks will be full for the gas fireplaces. If an extremely harsh winter occurs, wood will be based on availability and guests may be requested to purchase wood at the local grocery and hardware stores. Questions About Emergencies Q. [Maintenance] What do I do if something is not working or breaks during our stay at a cabin? A. We do retain services with several local contractors and maintenance persons. If something is not working properly or something breaks during your stay, you would first need to contact our office during regular hours. If this is an emergency situation in the off hours, please refer to the emergency phone numbers for Berkeley Springs Cottage Rentals management personnel in the visitors guide in the cabin. We would then assess the situation and either have a repairmen service the problem and if easily repairable repair the problem without interruption to your stay. If the problem is not easily repairable we would then make arrangements to move you to another cabin for the remainder of your stay. We would try to make this transition as easy as possible for you. Q. [Forgotten Items] What do I do if I forget something in a cabin when I leave? A. If you find that you have forgotten something in a cabin after you have left, please call us as soon as you realize that the item has been left here. If our cleaning crew has found the item and it has not been discarded we can ship it to you, although there is a $25.00 handling fee plus whatever the shipping costs would be, which would need to be paid prior to shipping the item back to you. Berkeley Springs Cottage Rentals is not responsible for any items left in the cottage. Q. [Emergencies] What if an emergency would arise (illness or injury) while at a cabin? A. We do hope that your stay with us will be uneventful, but you should need to seek medical, please refer to the Visitor’s Guide in each cabin that provides complete information for the local hospitals and emergency rooms, as well as directions that can be used to provide the local 911 system the information needed to the cottage. We also understand that pets have medical emergencies too, also in the Visitor’s Guide are local emergency veterinary services listings as well. Q. [Cell Phone ] How is Cell Phone Reception in that Area? A. The Berkeley Springs Area has mountainous terrain and cell phone reception can be intermittent in many places. Most of the major cell phone carriers have decent service in the immediate downtown area of Berkeley Springs. I have personally found that US Cellular and Verizon have the most towers and best coverage in the Berkeley Springs Area. Sprint PCS has the next best coverage, but reception is poor off of Route 9 East and Route 9 West. Cingular and Cellar One have the poorest reception in this area. Q. [Inclement Weather ] What if I get stuck at a cabin due to inclement weather? A. This situation will be assessed on a case by case basis, for example if we get hit with a freak blizzard, we will not expect you to try to leave a cabin and try to maneuver through a blizzard, we value you as a customer and would like to see you return with us, therefore your well being is of our concern. If the weather becomes inclement during your stay we will assess the situation and make longer stay arrangements accordingly. Q. [Driving Conditions] Are the cabins accessible in the snow and will I need four wheel drive? A. . If we have had snow or ice, the country roads can be covered even if the main roads have been plowed and are open. Most of the cabins are on country roads, except those that are in town, and are sometimes tricky to maneuver in the winter. It would be advisable to have all wheel drive or four wheel drive if the weather has been bad or if they are predicting bad weather. We do have contracted persons that plow the roads to the cabins, but these are individual contractors and they have multiple accounts to maintain, therefore we do not control when they arrive to plow the snow at the cabins. Unless there is 3 or more inches of snow, our contracted snow removal persons will not plow in order to not damage their equipment. Questions About Checkin/Checkout Q. [Check In & Check Out] What are the check in and check out times and procedures? A. Check In time is 3:00 p.m. and Check Out time is 12:00 noon. We do need to adhere to these times due to scheduling of other guests and cleaning personnel. We have a self check in process, where you arrive any time after 3 p.m., go directly to your cabin or cottage, retrieve your key from a lock box at the cabin and check yourself in. There are check out procedures posted in each individual cabin that vary slightly due to different amenities, but basically and most importantly is to return your key to the lock box and make sure that you have all of your belongings when you leave the cabin. Please note that anything left in the cabin will be disposed of unless we have heard from you requesting that it be returned, in which case there is a $25.00 handling fee plus whatever the postage is for shipping. Berkeley Springs Cottage Rentals is not responsible for any items left in the cottage. Q. [Keys] How do I Obtain the Property Keys? A. After you have made a reservation and your deposit has been processed; we send a confirmation by email that includes a reservation confirmation number and directions from your starting point directly to the cabin. There will be a lock box on the front door of the cabin and also included in the email is the combination to the lock box and instructions on how to get the key out of the lock box. Our rental cabins are privately owned and Guests are responsible for lost keys. The property must be re-keyed in the event the keys are lost, misplaced or not returned and you will be responsible for the cost of this procedure. Q. [Check-in Check-out] What are Check In and Check Out Times? A. Check In time is 3:00 pm or anytime after. If you call the day before your reservation, if no other guest is staying the night prior to your reservation and our cleaning personnel have verified the cottage has already been cleaned, then we will probably be able to offer you a 12:00 noon check in. The early check in time is based on availability and is not guaranteed. Check Out time is 12:00 noon. Due to the remote locations of our properties, we are unable to offer an extended check out. Guests are required to depart the cottage no later than 12:00 on their scheduled date of check out. Any late check outs will be asked to immediately depart and will be assessed an additional fee. Please allow our cleaning personnel the time to provide quality housekeeping services by departing promptly at 12:00 noon. Q. [Office] Do I Need to Go to Berkeley Springs Cottage Rentals Office? A. We are always glad to see and visit with our guest, but we have emplaced a system for your convenience where you can go directly to the property and conduct self check in and check out procedures without the trouble or hassle of having to stop by our office. Q. [Early Departure] What happens if I need to end our stay earlier than expected? A. Again we understand that things occur that may interrupt or end your stay with us earlier than you expected. Unfortunately, we do not refund any monies for early departures, regardless of what circumstances prompted your early departure. We can however offer you a 10% discount on your next visit. Q. [Items] What Items Do I Need to Bring? A. Please bring your food, drink, clothing and hygiene products. Food can be purchased locally at the Food Lion Grocery Store or one of our owner operated produce or butcher stores. Q. [Garbage Removal] What do I do with any garbage while staying at a cabin or when I leave? A. Each cabin has either a wooden or plastic storage container at the end of the driveway or a trash container at the cabin. We do supply garbage bags and all garbage must be bagged and disposed of in the designated receptacle. Please do not leave any un-bagged trash. Questions About Payments/Fees Q. [Payments ] How do I make Second or Final Payment Arrangements? A. We require a 50% deposit to hold the reservation and your final payment is due on the day of check in. We can either automatically charge your Visa or Master Card for the remaining balance on the day of check in or if you notify us in advance, you can stop by our office and pay by either cashiers check, money order or cash for the exact amount of the second payment.
Questions About Policies Q. [Visitors] Can guests have visitors at the cabins? A. As a safety issue for an emergency situation and due to insurance, liability and maximum occupancy issues; absolutely NO additional guests are allowed. Renters are required to inform Berkeley Springs Cottage Rentals of the total number of persons in your party and additional over party limit fees may be incurred. Also, party limit sizes are noted for each cabin and we do need to adhere to these guidelines due to health code issues involving the sewage and septic systems at the cabins Q. [Smoking] What is the Smoking Policy? A. All of our properties are non-smoking! You are welcome to smoke anywhere outside the cottage, but we ask that you do this responsibly and not throw lighted cigarettes or cigars on the ground risking a fire hazard. Please discard your smoking residue properly and please do not throw hot residue in the trash. An additional cleaning fee will be charged to any guests who do smoke inside the cabin. Q. [Paintball] Can paint ball guns be used on cabin properties? A. Paint Ball Guns are not allowed on cabin properties. Due to the fact that our cabins are privately owned and each owner has been adamant that they do not want paint ball shooting on there properties we are bound by their wishes and must ask that this not be done. Q. [ATVs] Can I bring my ATV and ride on cabin properties? A. NO!! NO Riding or bringing ATV’s on cabin properties. Q. [Alcohol] Are alcoholic beverages allowed in cabins and cottages? A. Alcoholic beverages are allowed as long as you are of legal age to purchase alcohol. By West Virginia Law, no drinking of alcoholic beverages by persons under the legal age of 21 is allowed. Questions About Pets Q. [Pet Policy ] What is your Pet Policy? A. Berkeley Springs Cottage Rentals is delighted to offer you pet friendly cottages so you can enjoy your vacation with your entire family (pets included).
Q. [Cleaning Fees] Will there be any additional cleaning fees that are incurred from excess pet hair or odors? A. Yes, as guests of well maintained rental cottages we expect you to bring items to make your pet comfortable and to clean up after your pet. If you have a dog that sheds, then please bring a vacuum cleaner to clean up after your pet. If your pet were to have an accident, we expect our pet owners to thoroughly clean up after their pet. You will be charged an additional cleaning fee if you fail to clean up after your pet. Q. [Cats] What is Your Policy on Cats? A. Most of our property owners do not allow cats in their cottage due to allergies. We would prefer you to leave your kitty in the care of someone at home, but exceptions may be made on a case by case basis on certain properties. Please inform us if your pet is a cat. Q. [Pets ] Can I Bring a Pet? A. Yes, most of our cabins are pet friendly and we normally allow up to 2 dogs. Please refer to our website for a listing of pet friendly cottages:

Q. [2 or More] Do You Allow More than 2 Pets? A. On a case by case basis, we have allowed up to 3 small dogs, but you will be directed to a property that does not contain any carpet. It will also require prior approval from the property owner and factors such as dog size and behavior will be factored in. Exceptions to the pet policy may or may not be made on a case by case basis. Questions About Supplies Q. [Groceries] Are there Places Locally to Purchase Groceries? A. We have a Food Lion Grocery Store that is located off of Route 522 South. There is also a Community Garden Market in downtown Berkeley Springs that is open daily; the Berkeley Springs Farmers Market is also open on Sunday from May – October. We also have a number of local produce stands that sell fresh vegetables. You can also purchase quality fresh meats and seafood at Tony’s Butcher Block which is also located on Route 522 South. Q. [Organic] Where can you purchase organically grown and health food items? A. This is a local market in the heart of town, on Washington St., across from City Bank. It has a wide variety of natural and health food items as well as organically grown fruits, vegetables and herbs. COMMUNITY GARDEN MARKET 148 North Washington Street 258-8300 Hours: Daily 10-6; Su 12-5 Organic foods and other healthy products. Q. [Butcher] How do I get to Tony’s Butcher Block? A.
