RENTAL POLICY

Rental Policy

Policies apply to all guests staying with Berkeley Springs Cottage Rentals. For more information please contact us. For information regarding the properties we manage, visit the Rentals page.

  • We require a 50% deposit to make a reservation.

  • Once your reservation has been finalized, we will email you arrival instructions which contains directions to the property and lock box information.

  • You will go directly to the property and conduct a self check in. Check in time is 3 pm or anytime after and check out time is 12 noon or earlier.

  • Please feel free to contact our office the day before or the day of your reservation to inquiry if a complimentary early check in is available.

  • The final payment is due 7 days prior to checking in.

  • You must electronically sign a rental agreement agreeing that you will act in an acceptable and reasonable manner that does not damage the property or disturb any neighboring properties.

  • We do not permit parties or loud noises at any properties.

  • Guest are not permitted to enter properties prior to check-in date.

  • Please note – GPS is not always accurate in this area and many access roads are mountainous and gravel in the area.

  • During snowy inclement weather conditions, some properties may be difficult to access without 4-wheel drive.

  • So emergency vehicles can access the surrounding roads and properties, please do not block any driveways, roads or intersections.

  • The number of vehicles permitted at the property is limited to the number of bedrooms.

  • Rental is limited to stated number in the party. Additional guests or vehicles are not authorized.

  • Please bring your own personal hygiene products (shampoo, soap, toothpaste, etc).

  • Please bring any spices and cooking preparation items (oil, foil, wax paper, etc).

  • If the property has internet service, the internet logon information is located on the refrigerator.

  • While we want our guests to enjoy their visit, please be respectful of the neighbors by refraining from playing loud music or any unacceptable behavior.

  • Guests must be twenty-five years of age or older to rent a property.

  • If traveling with a pet at a pet friendly property, please remove pet residue from the yard and pet hair from the cabin.

  • Do not leave any perishable food in the refrigerator or freezer, condiments are acceptable to leave.

  • Bag all trash in a standard trash bag and ensure all recyclables are bagged. Garbage service will not remove any non-bagged trash.

  • Place your garbage in the trash box at the driveway entrance (for Woods Resort Properties only, please take your garbage to the community dumpster just past the outdoor pool). Please call office for trash pick-up if garbage is overflowing at 304-258-5300.

  • Please wash all your dishes or start the dishwasher.

  • If there is a wood burning stove or fireplace, ensure the fire is burnt all the way down and close the door or fireplace screen. DO NOT PUT WATER INSIDE FIREPLACE OR WOODSTOVE, WATER WILL CRACK THE DEVICE. Leave all ashes in the fireplace or wood stove.

  • Campfire ring burning - if property has a campfire ring, please make sure campfire is burnt all the way down and wet down with water before departing.

  • Please turn off all lights before departing. Ensure all windows and doors are closed and locked.

  • During summer months, please set air conditioning to 75 degrees.

  • During winter months, please set heat to 55 degrees.

  • If you are staying at a cabin with a propane grill, please ensure you have cleaned the grill after use and turn the propane valve to the "off" position.

  • Properties with charcoal grills, use common sense, do not discard ashes and start a forest fire. Please leave your ashes in the grill and clean off the grill grate.

  • Return key to lock box and roll the lock box numbers on all zeros (0-0-0-0). Ensure you leave the key in the lock box for housekeeping to access the property.

  • Please leave the cabin in an orderly and reasonable condition, our housekeeping staff works very hard to make the properties sparkle. Gratuity is appreciated for the housekeeping staff.

INDEMNIFICATION AND HOLD HARMLESS – Guest(s) shall assume sole responsibility for themselves and for every member or guest of their party, as follows:

A. Guest(s) shall be solely responsible for any property damage, accident or injury to any person or loss sustained by any person arising out of or in any way related to Guest(s) use of the premises, amenities, facilities or equipment located on premises. Guest agrees to release, indemnify and hold harmless Berkeley Springs Cottage Rentals and owner from and against all liability for injury to the person of the Guest, to any member of his party resulting from any cause whatsoever. This indemnification specifically includes, but is not limited to, use of any fireplace, BBQ, fire pit, swimming pool, hot tub, sauna, hiking trail, or boat, canoe, raft, tubes or other recreational equipment of any kind or nature that is available on the premises.

B. Guest(s) shall be solely responsible for any property damage, accident or injury to any person or loss sustained by any person arising out of or in any way related to Guest(s) use of community property, amenities, facilities or equipment located in the private community where the premises are located. Guest agrees to release, indemnify and hold harmless Berkeley Springs Cottage Rentals, owner and the community association from and against all liability for injury to the person of the Guest, to any member of his party resulting from any cause whatsoever. This indemnification specifically includes, but is not limited to, use of any clubhouse, picnic area, tot lot/playground, park, open space, hiking trail, bike path, swimming pool, pond, lake, river/lake access, beach, dock, tennis court, basketball court, or any other amenity, facility, equipment or other community property of any kind or nature.

USE OF COMMUNITY PROPERTY – For properties located in a private community in which the rented premises are located may offer amenities and facilities for use by residents, which amenities and facilities are owned, maintained and controlled solely by the community association. These may include, but are not necessarily limited to a clubhouse, picnic area, tot lot/playground, park, open space, hiking trail, bike path, swimming pool, pond, lake, river/lake access, beach, dock, tennis court, basketball court, and other areas or facilities. Use of community property by Guest(s) and any member or guest of their party must conform to the rules of the community, which are provided as an addendum hereto where applicable. Guest(s), for themselves and for any member or guest of their party, acknowledge that community property is available solely on a “use at your own risk” basis, and that the user of community property shall at all times remain solely responsible for his/her own safety.
